Captiv8 helps change the way the world connects to brands. Captiv8 has built a platform that organizes social data and makes it universally accessible and predictable. They provide products and services that connect brands to content creators. Founded in 2015, this startup is in continuous growth mode and we’re looking for a polished, organized and diligent Executive Assistant to support two key Captiv8 leaders through calendaring, schedule management, travel arrangements and meeting logistics. The office you would work out of is located in San Mateo, CA.

Your Mission:
Support the CRO and Founder to keep their schedules and administrative office needs buttoned up while they focus on their core business responsibilities. Leverage your organization and concise communications to support the Captiv8 team on a daily basis. Your responsibility will include things like:

  • Manage and organize calendars including coordination and scheduling of meetings
  • Proactively manage meeting and event reminders, ensuring proactive confirmation of availability or need to reschedule if necessary
  • Follow-up with team members regarding task status, due dates and associated reporting
  • Event planning and coordination including securing of reservations and all associated arrangements for off-site internal events, in addition to client events
  • Handle all travel arrangements (Founder travels to LA 2 x a week, and national travel several times a month)
  • Manage facilities by following up with vendors to ensure offices are equipped with sufficient supplies (i.e.: snacks, office equipment)
  • Work with external support to coordinate and schedule maintenance activities
  • Help ensure expense reporting of all areas of support are being handled
  • Support HR Functions with tasks such as posting job descriptions and notifying Captiv8 team members of applicant activity, so they can review applicant candidacy

This This You?

  • Bachelor’s Degree
  • Strong attention to detail, focus and organization
  • Excellent written and spoken communication skills
  • 2-3 years’ experience in an office manager or executive assistant position
  • Advanced Knowledge of G-Suite and Microsoft Outlook Suite
  • Excited to work in a “hands-on”, “get-things-done” position
